Approve Paint Color Under the Room’s Real Lighting
A color can look different in a store, on a screen and in the room where it will be used. Before final approval, agree on how the selection will be reviewed under the room’s actual lighting and furnishings. This is a design decision record, not a guarantee that a digital image will reproduce the final appearance.
Choose a meaningful viewing context
Identify the room, intended lighting and adjacent finishes that matter to the choice. Review the proposed sample approach with the contractor, especially where existing materials should not be disturbed. Avoid comparing a phone screenshot with a physical sample as though they were the same reference. Screens, automatic camera adjustments and different light sources can affect how a viewer perceives the recorded color.
Record the complete selection
Keep the manufacturer, color identifier, finish or sheen and the agreed surfaces together. If one remains undecided, do not mark the entire selection final. A color name alone may not identify the exact product or system in the proposal. Ask the contractor which selection details affect the quote or need confirmation before ordering, rather than assuming all alternatives have identical scope.
Approve the reference, not every photograph
Identify what the owner reviewed and when approval was given through the project’s existing process. If the selection later changes, retain the previous reference and request confirmation of any resulting scope or scheduling effect. This reduces conflicting instructions when several people send suggestions. The goal is an understandable final choice, not a claim that every lighting condition or screen will show an identical result.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.

Worked example
Illustrative example: two household members select different versions of a similar white from phone images. They review the agreed reference in the intended room and settle on one complete color-and-finish record. The contractor confirms the relevant product details. Older screenshots are retained as superseded suggestions so they do not become competing instructions during the project.
